How we handle information from people planning a trip.

Tico Viajero Expresso is responsible for the personal data collected through this website and the travel-planning process.

We may process identification and contact details, country, approximate travel dates, number of travelers, interests, destinations, accommodation preferences and other information the traveler chooses to provide to prepare a proposal. The trip-planning form does not request detailed medical or health information.

When the process advances to the booking stage, Tico Viajero Expresso may request passport copies to make the corresponding reservations. Passport copies are not requested through the initial trip-planning form and may later be received through WhatsApp or email.

We use the information to answer enquiries, understand the requested trip, prepare personalized proposals, coordinate pre-trip communications and, if the traveler decides to proceed, manage the steps necessary to provide the requested services.

Depending on the situation, processing may be based on informed consent, steps requested by the traveler before entering into a contract, and compliance with legal obligations. The trip-planning form is not used as consent for unrelated advertising.

Access is limited to Tico Viajero Expresso personnel and authorized contacts involved in pre-trip assistance. In Spain, this may include Beatriz · Aventura.Tica in Madrid and Maria Gonzalez in Barcelona. In the United States, this may include Travis Baer · Texas Ticos in Texas.

These contacts may receive personal data needed for initial coordination, such as name, number of travelers, dates, interests, activities the travelers do or do not want, preferences and number of rooms. Hosting, security, communications or storage providers may also process information on behalf of Tico Viajero Expresso when necessary to provide the service.

Tico Viajero Expresso operates in Costa Rica and serves travelers from other countries. Pre-trip coordination may involve contacts located in Spain and the United States, so certain personal data may be communicated between those contacts and Tico Viajero Expresso in Costa Rica when necessary to prepare the trip.

Where applicable law requires specific safeguards for international data transfers, Tico Viajero Expresso will adopt the measures required before carrying out processing subject to those safeguards.

Enquiries and quotations that do not result in a booking will be kept for a maximum of 24 months from the last interaction, unless the person requests earlier deletion or a longer period is legally required.

If a service is contracted, information necessary to provide it and meet legal, accounting, tax or contractual obligations may be kept for the applicable statutory periods.

Passport copies will be requested only when needed to manage trip reservations. They will be retained for the time necessary to make and administer those reservations and will be securely deleted when no longer necessary, unless a legal obligation requires them to be kept for a longer period.

You may request access, correction or deletion of your personal information and exercise other rights granted by applicable Costa Rican law. Where the European Union General Data Protection Regulation (GDPR) applies, rights to restriction, objection, portability and withdrawal of consent may also apply when consent is the legal basis.

Tico Viajero Expresso will address any additional obligations that are legally applicable to the relevant processing. Commercial coordination contacts in Spain are not presented as data-protection representatives unless a separate formal designation exists.

The website is not designed to collect personal data directly from children. Information about minors should be provided by a responsible adult only when necessary for trip planning.

Detailed medical or health information should not be entered in the initial form. If later required to provide a service, it will be requested separately with appropriate safeguards.
